The ShortlistPass Company ("Shortlist Pass," "we," "us," or "our") operates the Shortlist Pass platform, providing business management and customer engagement tools for local businesses. This Privacy Policy explains how we collect, use, disclose, and protect your personal information when you use our services.
By using Shortlist Pass, you agree to the collection and use of information in accordance with this policy. If you do not agree with our policies and practices, do not use our services.
We collect information that you provide directly to us, including:
Account Information: When you create an account, we collect your name, email address, phone number, and business information if you are a business owner.
Order Information: When you place an order through our platform, we collect your name, phone number, email address, order details, payment information, and any special instructions you provide.
Communication Data: We collect information when you communicate with us or with businesses through our platform, including messages sent through our chat system.
Usage Information: We automatically collect information about how you interact with our services, including your IP address, browser type, device information, and usage patterns.
We use the information we collect for the following purposes:
Order Processing: To process and fulfill your orders, communicate with you about your orders, and provide customer support.
Account Management: To create and manage your account, verify your identity, and provide you with access to our services.
Communications: To send you service-related communications, including order confirmations, pickup notifications, and other transactional messages.

When you give us your mobile number and agree to receive text messages, you may receive SMS from THE SHORTLISTPASS CO LLC. These messages include:
Message frequency varies. Message and data rates may apply. Consent to receive text messages is not a condition of any purchase.
Your mobile information stays with us. Mobile information will not be shared with third parties or affiliates for marketing or promotional purposes. Text messaging originator opt-in data and consent will not be shared with any third parties. We never sell phone numbers.
Opting Out: You can opt out of SMS notifications at any time by replying STOP to any message. However, this may affect our ability to notify you about important order updates. You may also contact us at hello@shortlistpass.com to manage your communication preferences.
We do not sell your personal information to third parties. We share your information only in the following circumstances:
With Businesses: When you place an order, we share your name, phone number, email, and order details with the business fulfilling your order. This is necessary to complete your transaction and provide you with the products or services you requested. They may not use your mobile number or your text-message consent for their own marketing.
Service Providers: We work with third-party service providers who perform services on our behalf, such as payment processing, SMS delivery, hosting, and analytics. These providers have access to your information only to perform these tasks and are obligated to protect your information. They act on our instructions only and may not use your mobile information for their own marketing.
Legal Requirements: We may disclose your information if required by law, court order, or governmental regulation, or if we believe disclosure is necessary to protect our rights, your safety, or the safety of others.
Business Transfers: If Shortlist Pass is involved in a merger, acquisition, or sale of assets, your information may be transferred as part of that transaction.
AI assistants such as Claude or ChatGPT can read a business's public page through our agent door (the MCP server at app.shortlistpass.com/mcp and the JSON API at app.shortlistpass.com/api/agent/v1) and can start an order on your behalf. The assistant is a separate service with its own privacy policy; this section covers what Shortlist Pass receives from it.
What we collect: when an assistant starts an order, the items and quantities you chose, the pickup time, the name, phone number and email you gave the assistant (only if you gave them), and the name of the assistant (for example "Claude"). We also record the IP address of the request, hashed, for rate limiting. Reading a menu or schedule sends us nothing about you.
Why: to pre-fill the order sheet on the business's page so you can review and pay, to limit abuse of the service, and to show the business which assistant helped with an order.
Where it is stored and for how long: the cart is stored for 30 minutes and then expires. If you do not pay, nothing else is kept. If you complete payment on the business's page, the order is stored like any other order (see Data Retention), including the assistant's name.
Who it is shared with: the business fulfilling your order, and, only when you pay, our payment provider (Stripe or Square) as described under Information Sharing. The assistant never receives your payment details from us, and we never ask an assistant for card details.

We retain your personal information for as long as necessary to fulfill the purposes outlined in this Privacy Policy, unless a longer retention period is required or permitted by law. Order history and transaction records are retained for accounting and legal compliance purposes. When you close your account, we will delete or anonymize your personal information within a reasonable timeframe, except where we are required to retain certain information for legal or regulatory reasons.
We implement appropriate technical and organizational measures to protect your personal information against unauthorized access, alteration, disclosure, or destruction. This includes encryption of data in transit and at rest, secure authentication mechanisms, and regular security assessments. However, no method of transmission over the internet or electronic storage is completely secure, and we cannot guarantee absolute security.
You have certain rights regarding your personal information:
Access and Correction: You can access and update your account information at any time through your account settings.
Deletion: You may request deletion of your account and personal information by contacting us at hello@shortlistpass.com.
Communication Preferences: You can opt out of SMS notifications by replying STOP to any message or by contacting us directly.
Shortlist Pass is not intended for use by individuals under the age of 13. We do not knowingly collect personal information from children under 13. If we become aware that we have collected personal information from a child under 13, we will take steps to delete that information as soon as possible.
We may update this Privacy Policy from time to time to reflect changes in our practices or legal requirements. We will notify you of any material changes by posting the updated policy on our website and updating the "Effective Date" at the top of this page. Your continued use of Shortlist Pass after such changes constitutes your acceptance of the updated Privacy Policy.
